Most businesses process new client requests the same way they did a decade ago — someone fills out a form, an employee sees it (eventually), copies the data somewhere, sends an email manually, and adds a task to a to-do list. Here's how to eliminate all of it.
Why Client Intake Is the Best Place to Start Automating
When we do an automation audit with a new client, we almost always start with intake. It's the most universally painful process — and the one with the most immediate, measurable ROI. Every business takes in new clients or customers. Most do it badly.
The manual version looks like this: a lead fills out a contact form, the notification email goes to a general inbox (or worse, a personal email), someone eventually sees it, manually adds the contact to a CRM or spreadsheet, sends a response from their personal email, and maybe creates a task or calendar reminder. The average response time across small businesses is over 24 hours. The drop-off rate from a lead submitting a form to an actual conversation happening is enormous.
An automated intake system collapses that entire chain into seconds — without anyone touching it.
What you'll need: A Microsoft 365 Business account with Power Automate included, a web form (Microsoft Forms, Typeform, or any form that can trigger a webhook), and about 2 hours the first time you build this.
The Anatomy of an Automated Intake Flow
Before building, let's map what we want to happen automatically when a new client submits a form:
- Form submitted by the lead
- Lead data captured and logged to a spreadsheet or CRM
- Confirmation email sent to the lead immediately
- Internal notification sent to your team via Teams or email
- Booking link delivered to the lead so they can schedule a call
- Follow-up reminder created if no meeting is booked within 48 hours
All six of those steps happen automatically, in sequence, triggered by a single form submission. No human involvement required until the actual meeting.
Step-by-Step: Building the Flow in Power Automate
Step 01 — Set Up Your Trigger
In Power Automate, create a new automated cloud flow. Choose "When a new response is submitted" as your trigger if you're using Microsoft Forms. If you're using another form tool, use the HTTP webhook trigger. This fires the flow every time someone completes your intake form.
Step 02 — Get the Response Details
Add the "Get response details" action from the Microsoft Forms connector. This pulls all the form field values — name, email, phone, service interest, etc. — into dynamic variables you can use in subsequent steps.
Step 03 — Log the Lead
Add a "Add a row into a table" action using the Excel Online connector, or use the Dataverse connector to create a new record in your CRM. Map each form field to the corresponding column. This ensures every lead is captured, even if follow-up fails.
Step 04 — Send the Confirmation Email
Add a "Send an email (V2)" action from the Office 365 Outlook connector. Use the lead's email address from the form response. Write a professional confirmation message — include your booking link here so they can self-schedule immediately. Use dynamic content to personalize the greeting with their name.
Step 05 — Notify Your Team
Add a "Post a message in a chat or channel" action from the Microsoft Teams connector. Send a formatted card to your sales or intake channel with the lead's name, contact info, and what service they're interested in. Your team gets instant visibility without checking email.
Step 06 — Create a Follow-Up Task
Add a "Create a task" action using Microsoft To Do or Planner. Set the due date to 2 days from the trigger time using the expression addDays(utcNow(), 2). This ensures no lead falls through the cracks if they don't self-book.

Once the basic flow is working, you can add intelligence to it using AI Builder's text classification model. Train it on your historical intake data and it will automatically tag each new submission by service type, urgency, and lead quality — routing high-priority leads to a different Teams channel or triggering a phone call notification instead of just an email.
Pro tip: Add a condition step after logging the lead that checks their stated budget or company size. High-value leads above a threshold can trigger a different confirmation email with a direct calendar link to a senior consultant — while smaller leads get a standard self-serve booking flow.
What This Actually Gets You
When we implement this for clients, the results are consistent: response time drops from hours to seconds, no leads are ever lost to an overflowing inbox, and the sales team spends zero time on administrative intake tasks. The only manual work left is showing up to the meeting.
For a business receiving even 20 new leads per month, this automation saves roughly 3–5 hours of admin time per month at minimum. For businesses with higher volume, the ROI compounds significantly.

Power Automate is genuinely powerful, but getting it configured correctly the first time — with proper error handling, test data, and edge case coverage — takes expertise. If you'd rather have it done right the first time, we build these systems every day for South Florida businesses.
